Fieldin is looking for a Senior Office Manager who will manage a range of services and provide the necessary support to ensure high quality and efficient running of our two offices in Israel (~70 employees in Yokneam and ~15 employees in Tel Aviv, and keep growing). This role will oversee many different aspects of a company's operations from day-to-day office maintenance and ensuring a pleasant working environment to managing suppliers and service providers. The Office Manager will work closely with Finance and HR departments and will have a significant influence on the life of Fieldin Israeli site. The successful candidate will be someone who is positive, energetic, self-driven, organized, quick problem solver, loves people and enjoys the details as well as the big picture.
Position location: 4 days in Yokneam, 1 day at Tel Aviv (Azrieli)
Responsibilities:
Ensure the office day-to-day operations run smoothly and efficiently, including food and other types of supply orders, deliveries, etc.
Take responsibility for overall office logistics and supplies - kitchen, office equipment, parking, leasing cars, mail, invoices for facility operations, etc.
Plan and control the office budget.
Provide administrative support to management and employees.
Coordinate travel abroad (flights, accommodation, insurance, travel expense reports, etc.) while maintaining a positive attitude to handle last-minute changes.
Work closely with the Finance team - provide back-office support, assist with invoices, payments of expenses, travel expenses, and more.
Manage relationships with vendors and service providers, searching and negotiating with potential external suppliers, as well as handling orders, invoices, and procurement, ensuring that all items are invoiced and paid on time.
Work closely with the HR team - provide administrative support to hiring managers, help executing welfare activities, supporting onboarding and offboarding processes, etc.
Perform other duties and ad-hoc special projects.
